Allan & Gill Gray Foundation serves dual purposes; to support the long-term success of Allan Gray, Orbis and Allan Gray Australia groups of asset managers in the efforts to add value for clients; and to devote the fruits of the controlling interests in those firms to philanthropy.

Allan Gray, Orbis and Allan Gray Australia groups of asset managers have their own websites and privacy notices. Nothing in this website or in this Notice reflects the policies of those asset managers. For any information relating to those asset management firms you should visit their websites.

The philanthropic activity of Allan & Gill Gray Foundation is conducted by the entities which make up Allan & Gill Gray Philanthropies. These entities are set out in the Legal Notice.

Allan & Gill Gray Foundation and Allan & Gill Gray Philanthropies collect specific information about its members and people connected with their members in order to fulfil their purposes.

The information collected can be categorised as follows:

  • Your personal identification information (which may include your name and passport information, your IP address and personal data required to establish your identity and undertake such checks as we may be legally obliged to complete and personal data available in the public domain).
  • Your contact information (which may include postal address and e-mail address and your home and mobile telephone numbers).
  • Your family relationships (which may include your marital status, the identity of your spouse and the number of children that you have).
  • Your professional and employment information (which may include your level of education and professional qualifications, your employment, employer’s name and details of directorships and other offices which you may hold).

  • Details about your engagement with us e.g. event attendance, correspondence and meetings.
  • Dietary requirements for events.

Information is collected in a number of ways including:

  • When you or someone connected with you provide information to us in connection with a grant from Allan & Gill Gray Foundation and/or Allan & Gill Gray Philanthropies.
  • When we collect information as a result of other interactions which you have with us, including where you provide advice or services to us.
  • When we collect personal data in the course of managing the assets of Allan & Gill Gray Foundation and/or Allan & Gill Gray Philanthropies or from publically available sources in the course of researching philanthropic opportunities for Allan & Gill Gray Foundation and/or Allan & Gill Gray Philanthropies or as part of the activities of Allan & Gill Gray Foundation and/or Allan & Gill Gray Philanthropies.

Retention of your personal information

We will retain personal data for as long as necessary for the purposes set out above.

We will not retain your personal information if it is no longer required. In some circumstances, we may legally be required to retain your personal information, for example for finance or audit purposes.

We will ensure you are always able to update your information with us and are able to change your preferred communication preferences.

Sharing your personal data

We may share your personal data with each other and with third parties (including other stakeholders in the grant process, banks, financial institutions or other third party lenders, regulatory bodies, law enforcement agencies, service providers, auditors and/or our administrators and legal professionals) under the terms of any appropriate delegation or contractual arrangement.

Those authorised third parties may, in turn, process your personal data abroad and may have to disclose it to foreign authorities to help them in their fight against crime and terrorism or otherwise to satisfy their regulatory requirements. Where such entities act as data processors, we will ensure that there is an appropriate agreement in place. Where such entities act as data controllers, they will be under an obligation to process your personal data in accordance with applicable laws.

  • Where we transfer your personal information outside the European Economic Area (and/or Guernsey), we will ensure that it is protected and transferred in a manner consistent with legal requirements applicable to the information. This can be done in a number of different ways, for instance:
